Program and Event Coordinator for Cape Wellness Collaborative

The Program and Event Coordinator is responsible for coordinating and organizing event and program activities and logistics, as well as creating and envisioning new events and helping to shape the growth of programs. This position will require strong relationship building with CWC’s practitioners, volunteers, vendors and partners, as well as close collaboration with staff and board in order to ensure that programs are running smoothly and events are successful.

Roles & Responsibilities

Volunteer Coordination

●  Field all volunteer requests

●  Add prospective volunteers to database

●  Communicate with volunteers when opportunities are available

●  Greet and direct volunteers at events and other volunteering opportunities

●  Periodic outreach to volunteers about what organization is up to

Event Support

●  Collaborate with Development Coordinator and CEO in event visioning

●  Organize event committee meetings

●  Point person for communications with venue or event team

●  Solicit and track auction items/ event auction

●  Assign event tasks to volunteers/staff/Board

●  Provide volunteer leadership at events

●  Set up Wix pages to support the event: raffle, tickets sales, etc.

Program Coordination: Wellness Eats

●  Correspond with culinary director at least 3 weeks in advance of cook date to confirm menu & any materials      that may need to be ordered

●  Determine volunteer needs

●  Volunteer outreach at least two weeks prior to cook date

●  Update labels in canva and order from Sunderland if necessary (need one week notice)

●  Be available during the two days of cooking to pick up last minute items, support volunteers etc.

●  Post cook collaborate with Operations Manager to update meal inventory

●  Work with Darlene to get meals to clients in need (volunteer outreach for delivery)

●  Communicate with farms/CSA’s to arrange fresh produce delivery for CWC clients

● Help develop strategy and logistics for new distribution model in collaboration with CEO and Operations


Chemo Baskets

●  Purchase supplies

●  Use volunteers to help with assembly

●  Deliver to Cape Cod Hospital as needed

Yoga Vouchers

● Manage yoga voucher program by visiting participating yoga studios across the Cape

   Build relationships with CWC’s participating integrative therapy practitioners across the Cape: occasional          visits, surveys, emails, and getting pictures/logos/content from them for promotion of their work on our social


●  Design and share social media stories and support marketing team with social posts

●  Minor updates to website using Wix

●  Send occasional mass texts to clients/eventees using Slick Text

●  Keep and track data on program participation

●  Collaborate with CEO to develop a client program survey

●  Prepare budgets for events and programs and track expenses against budget

The above is a description of the ordinary duties of the position. It should be expected that from time to time, other duties related and unrelated to the above, may be assigned and, therefore, required.

There is room for creativity in the development and growth of this position. It will be relationship-heavy and mainly requires organization, logistics and planning skills that are needed for events and programs to run smoothly. There is plenty of opportunity to design new events, shape the growth of programs and build new relationships for the organization.

A strong physical presence is needed on the Cape, since our programs are based here. Two days a week will need to be spent in the office, but work from home is supported and you will have freedom to create a flexible schedule that accommodates your family needs as well as work tasks.
